Key Responsibilities / Accountabilities 

Control of Approval

  • Validate the information’s provided by the customer seeking service from HMG.
  • Coordinate multi source transaction of service approvals from various insurance companies.
  • Check and validates that each proposal/processed document has all the relevant documents required for processing the claims. It also acts as single point of contract to address the issues.

Patient Services

  • Assist patients to process the documents within shortest period of time.
  • Act as front liner to while receiving the patient, engage the patient with information and will be single point of contact for the patients.
  • Contact the insurance companies on behalf of the patients and update the patients on any issues related to their processing of documents.

Coordination

  • Coordinate with the clinic, administrative, claims and Billing departments for speedy processing of patient’s documents.
  • Act as back up to Business Coordinator in times of crises.
  • Acts as a front-liner or central point of contact for all the departments of the hospital relating to all issues related to approval section.
  • Participates in person-centered care initiatives undertaken by HMG.
  • Enriches patient experience with compassion, respect and dignity.

Perform other duties/tasks assigned within the realm of his/her knowledge, skills or abilities.

Marketing Supervisor

Job Purpose / Objective

Supervisor and coordinate the promotion of HMG brand and services to the consumer, patients and medical audiences at project level and responsible for the day to day running of the Marketing Department and its functions.

Key Responsibilities / Accountabilities

  • Prepare and implement an annual marketing plan in coordination with corporate Marketing division with all detail for the year’s activity to meet agreed Marketing objectives.
  • Ensure effective, branded marketing communications including the website, social media, print communication, and advertising.
  • Supervise special projects such as PR events, launches, marketing campaigns etc.
  • Liaise with all department managers in-house, in creating marketing pieces for different areas e.g. Booklet, newsletter, brochure etc.
  • Work closely with head of departments to ensure clear marketing message to audience and marketing support and research and evaluating new opportunities for the business, and customer needs and insights.
  • Maintain awareness of competitor activity and general healthcare updates and perform analysis of the effectiveness marketing efforts.
  • Manage relationship with key personnel in Pharmaceutical and Medical Device industries with a view to confirming on-going sponsorship of hospital events.
  • Coordinate the appearance of all print and electronic materials such as letterhead, use of logo, brochures, etc.
  • Evaluate marketing opportunities based on discussion and competitor analysis.
  • Ensure all internal marketing communications are coordinated, support marketing plan objectives and are an effective expenditure of resources.
  • Oversee customer/patient communications across all HMG Marketing channels including email campaigns, seasonal campaigns, advertising campaigns and display adverts.
  • Handle event and visitor protocol and ensure that all visual merchandising in all areas are consistent with the guidelines of brands.
  • Prepare and issue on-going reports on all activities to General Director.
  • Review performance of staff and perform counselling on unsatisfactory performance. In addition, discuss personnel and administrative issues and address and solve problems among staff.

  • Adhere to all HMG policies including obtaining an invoice before the procedure.
  • Refer any new patient to any Dermatologists for further explanation and securing consent.
  • Refer patients to any Dermatologists for any problems encountered during and after the treatment.
  • Communicate in a polite, accurate and timely manner. Should learn to respect the patient’s decision.
  • Prepare the patient before and after the treatment and to provide privacy.
  • Responsible in giving health instruction regarding pre and post treatment.
  • Monitor and report any machine and its accessories damages or any problems encountered anytime to her CN, HN including to the Bio-Medical engineers.
  • Maintain confidentiality of all her patient’s treatment specifically the patient’s record.
  • Book the client/ patient for the next appointment.
  • Responsible with the after care of all used items.
  • Complete all documentations once treatment been done including the parameters used clearly and accurately for reference.
  • Orient and assist new staffs in the unit. Identify the limitation the new staff has and to be able to help develop her skills.
  • Provide patient and family education as per need.

Job Purpose / Objective :

Coordinate and perform all activities in billing section, ensure speedy and error free functioning, initiate measures to patient conversion, help approval teams and manage cycle processing time.

Key Responsibilities / Accountabilities  :

  • Control Billing:
    • Scrutinizes the generated bill done by the billing clerk, keep strict checks on the documents.
    • Interfaces with the patients/its family members relating to explanation of bills and doubts arising out of it.
    • Controls and manages all forms of bills received every day, also have measure on the discount being offered on the billing.
    • Trains Team and new employees on the same.
  • Billing Operations:
    • Processes the bills with due diligence, explains the bills to patients, contacts the family to pay in advance if needed.
    • Makes estimation cost for the treatment and operation.
    • Coordinates with business office relating to business promotion, discounts and various forms of offers for the patients.
    • Makes refund to the patient in case of advance payments.
    • Informs business coordinator for the new procedure code in the inpatient or changes to that effect.
  • Coordination:
    • Builds coalition with the various departments for speedy processing of patients’ concerns.
    • Takes responsibility of Business Office Coordinator in his absence/crisis situation.

  • Check appointments or ascertain needs of visitors/patients and directs them accordingly.
  • Ensure patient identity verification before issuing any invoices
  • Generate the consultation and the medical procedure invoices.
  • Collect and submit cash to the general cashier assigned by Finance Department and arrange and submit invoices to Finance Department on daily basis.
  • Maintain cleanliness in his/her assigned reception area.
  • Make appointment and gives routine non-medical instructions to patients concerning their next visit in HMG.
  • Attend to telephone inquiries.
  • Maintain confidentiality of patient information at all the times.

Provide minimum level of supervision and support to a small to medium group of housekeepers/maintenance team during their daily activities and special cleaning projects as well as prepare work orders and requisitions for cleaning supplies and equipment.

  • Complies with the standards laid down by the joint Commission International Accreditation (JCIA)/ Central Board for Accreditation of Healthcare Institutions (CBAHI).
